How to Register Users

A Registration & Authorisation form needs to be completed prior to any person being accepted as an S2S user. This form must be signed by the Authorisation Administrator for it to be accepted. To download a registration form from your area, please click on your state:

When registering, editing and deleting staff members, the form must be completed with all details including agency and service names, signed and fax to us on (03 9486 9344). When registering a new staff member, we will notify them of their username and password along with instructions on how to log in.

User Roles for Registration

There are 4 types of Roles a user can have. Administrator, Referral Coordinator, Service Coordinator and Practitioner.

Administrators have report access only. This user is normally a manager that does not need to access confidential client information, create or receive referrals. They can produce a number of reports either for a service, or multiple services.

A Referral Coordinator (RC) acts like an intake officer. A RC is responsible for receiving referrals and then allocating them to individual team members or groups of team members (practitioners). If a user has multiple referral coordinator roles in different services, their log in only shows up as one role.

A Service Coordinator (SC) acts like an intake officer. They are responsible for receiving referrals and then allocating them to individual team members or groups of team members (practitioners). If a user has multiple Service coordinator roles in different services, their log in shows up with each role listed seperately and they need to select which role they want to view.

A Practitioner is usually the person who actions the referral. They either create and send a referral or receive and action a referral. A practitioner role can be renamed to anything requested by the authorisation administrator such as Team Leader, Assessment Officer etc... If an SC or RC exist under a service, the practitioner will not receive a referral until it has been allocated to them by the RC or SC.

Agency and Service Names for Registration

It is important that the correct Agency and Service name is written in the Registration Authorisation Forms. It saves confusions and prevents users being linked to the wrong agency or service.
